Restaurant AI Phone Agent
Buyer's Guide

How to choose an AI phone agent for your restaurant: what to decide first, what “integration” should mean, how pricing models compare, the questions to ask every vendor and how to run a demo that tells you the truth.

What an AI Phone Agent Does (and Doesn't)

An AI phone agent answers your restaurant's phone in natural conversation. The good ones pick up on the first ring, handle many calls at once, answer the questions you get all day, and either take the order or hand the guest something useful, like an ordering link or a reservation.

It is not the old “press 1 for hours” phone tree, and it shouldn't replace hospitality. The job is to take the routine calls off your team's plate so the people in the building get their attention, while anything sensitive (a complaint, a large catering order, a guest who wants the manager) reaches a person quickly.

This guide is vendor-neutral. We make one of these products, so we've kept the checklist to questions you can ask any vendor, including us.

Step 1

Decide What You Need the Phone to Do

Most buying mistakes come from comparing features before deciding which calls matter. Pick the row that sounds most like your restaurant.

Answer Every Call

Hours, location, menu questions, “are you open?” Your main goal is no missed calls and a calmer floor. An answer-only plan with text-to-order links may be enough.

Take Phone Orders

Takeout and pickup orders come in by phone. You need direct ordering into your POS, menu sync and upselling, not just a link.

Book Tables

Most calls are reservations and private events. Prioritize integrations with your reservation platform.

Run Many Locations

You need location-level settings, routing to the right store or manager, and reporting by brand and location.

Step 2

Know What “Integration” Really Means

Vendors use the word loosely. Ask which of these levels they support for your POS, and ask to see it working on the demo.

Level What happens What it means for you
1. Text-to-order link The agent answers, then texts the guest your online ordering link. ~ Simple and works with almost any POS, but the guest has to finish the order, and some won't
2. Direct order entry The agent takes the whole order and sends it into the POS as a ticket. ✓ Recovers the order on the call; no re-keying
3. Real-time menu sync The agent reads your menu from the POS and updates when you change it. ✓ No second menu; 86'd items and price changes never reach guests
Step 3

Compare Pricing Models, Not Just Prices

The sticker price matters less than how the bill changes when you get busy or add locations.

Model How it works Watch out for
Flat monthly fee One price regardless of calls or orders. ✓ Easiest to budget; check for call caps and per-location pricing
Per location A set fee for each store. ~ Fine for one store; multiply before you sign for ten
Per minute or per call You pay for usage. ~ Your bill is highest on your best days
Commission per order A percentage of every order the agent takes. ✗ The better it works, the more you pay
Setup and add-ons One-time onboarding, extra integrations, languages. ~ Ask for the full first-year cost in writing
Step 4 · The Checklist

12 Questions to Ask Every Vendor

Print this and use the same list on every call. A vendor who can't answer clearly is telling you something.

Question Why it matters A good answer sounds like
Do phone orders go directly into my POS? Links leak orders; re-keying causes errors. ✓ “Yes, here it is ringing in live.”
Does the menu sync automatically? A second menu drifts out of date. ✓ “Changes show up on their own.”
How are modifiers and substitutions handled? Real orders are messy. ✓ A live demo on your menu
Is there a cap on calls or concurrent calls? Busy signals at peak defeat the point. ✓ “Unlimited, at the same time.”
Do you take a percentage of orders? Commissions grow with your success. ✓ “No.”
What does it cost for all my locations? Per-location pricing adds up. ✓ A written number
What happens when a guest asks for a person? Dead ends lose guests. ✓ Instant transfer, ideally with a briefing
Can I edit answers myself? Hours and specials change. ✓ “Yes, in the dashboard.”
Which languages does it handle? Some callers prefer Spanish or others. ✓ A live call in that language
What reporting do I get? You should see outcomes, not just call counts. ✓ Calls, orders, revenue, tags, exports
Who does setup, and how long does it take? Hidden IT work stalls launches. ✓ A named person and a firm date
Can I see transcripts of real calls? It's how you check quality. ✓ “Every call is transcribed.”
Step 5

Run a Demo That Tells You the Truth

Polished demo scripts all sound good. These tests show what your guests will actually get.

Bring Your Own Menu

Ask the vendor to load your real menu before the demo, not a sample pizzeria.

Order Like a Real Guest

Change your mind mid-order, ask for a substitution, add a side, then ask for the total.

Ask for a Manager

Check that the transfer is fast and that your team knows why the guest is calling.

Check the Ticket and Transcript

Look at what actually landed in the POS and what the transcript says. That's the product.

Red Flags

Signs to Walk Away

  • “Integration” that turns out to be a text link when you need direct ordering.
  • No live demo on your own menu, only recordings.
  • Pricing that only appears after several calls, or that changes with call volume in ways you can't predict.
  • No easy way to reach a person once the agent is live.
  • You maintain the menu by hand in a separate tool.
  • No transcripts or call outcomes, so you can't check quality.

Common Questions

Restaurant AI Phone Agent FAQ

Software that answers your restaurant's phone with a natural-sounding voice. Depending on the product, it answers questions like hours and parking, takes takeout orders, books reservations, texts links and payment requests, and transfers callers to your team.

Pricing models vary: flat monthly fees, per-location fees, per-minute or per-call charges, and commissions on orders. Published examples in October 2026 range from $99/month (HeyTARA Starter) to plans starting at $399 per location (Slang AI Core). Always ask for the total cost at your real call volume and number of locations.

Many do, but “integration” can mean three different things: texting the guest an online ordering link, sending the full order directly into the POS, or syncing your menu from the POS in real time. Ask which of the three a vendor supports for your specific POS, and ask to see it live.

Good agents sound natural, but you should still be upfront. What frustrates callers is not AI itself but dead ends: phone trees, slow answers and no way to reach a person. Make sure the agent answers quickly and transfers to your team when asked.

It ranges from the same day for simple answer-only setups to longer for direct POS ordering across many locations. Ask who does the work, what you need to provide and for a firm go-live date in writing.

Commission pricing is cheap when you're slow and expensive when the agent works well. Flat pricing is easier to budget and lets you keep the upside from every extra order. Model both at your real order volume before deciding.

Use your own menu. Place an order with modifiers and a substitution, ask an off-menu question, ask for a manager, try Spanish if your guests speak it, and then check the transcript and the ticket in your POS.

Some can. Ask whether the vendor supports each POS you run, whether settings like hours and escalation contacts can differ by location, and whether reporting can be split by brand and store.
